Before social distancing became a trend, we were all planning our social calendars for the Spring and Summer seasons. Over the past two months, major conferences, concerts, festivals, and weddings have been canceled or postponed.

Attending the Offshore Technology Conference was the norm and personally, I have always anticipated attending the notable CERAWeek to hear the new trends in energy and discuss the future scope of oil and gas from top leaders in the industry.

With COVID-19 halting travel, event scheduling and social outings. Staying indoors and living vicariously online through quarantine clubs, dance challenges, Instagram live and watching what we consider music legends battle each other have basically become the way of life.

Events and gatherings of more than 50 individuals will now have to consider new strategies to instill confidence for attendees. This will become the new norm. Boosting attendee confidence with safety measures in place and any necessary precautions is highly encouraged.

Preventive measures should be put in place as a standard not an option. Especially since testing capacity for COVID-19 in some maybe most places are still undeniably low while we wait in the trenches for a vaccine.

As we patiently await the future for events, event hosts and organizers should level up on their negotiations with facilities to secure better rates, opt out of any buffets for meals, consider requesting servers even for the coffee bar, request for restroom cleaning services every 30 minutes or every 7 to 10 persons depending on the traffic. Provide sanitization stations or travel sizes wipes (individually wrapped) in traffic areas of the event.

Personal hygiene is no longer considered to be left up to an individual but now to protect a community. Program schedules and mandatory attendee registrations can be carefully managed to avoid exceeding capacity that will be manageable.

Event coordinators should go the extra mile to provide safety measures, risk management and preventive measures to cover staff and attendees, especially the careless, not so bright, unconsciously ignorant souls that are oblivious to protecting their own self. Event apps such as the WHOVA app are highly suggested to provide a concierge type of service that event management can customize for both professional and social events. For example, business cards can be exchanged via the customized event app for attendees to share amongst themselves. The less individuals exchange the better.

In the meantime, we must continue the course to learn new behaviors and techniques to counter post COVID-19. Time will tell what the future holds for events and what it would look like. I am sure some of us are anticipating the opportunity to socialize face to face again.
